Find out what's worth changing before you build anything.
Most firms know AI could improve how they work. Few know which workflows to change, what to automate, or where to begin. The audit is the diagnosis that comes before any of that, so you don't spend money building the wrong thing.
Seven questions, answered for your firm specifically.
- Where is work unnecessarily manual?
- Where is information getting fragmented or lost?
- Which workflows are realistic candidates for AI or automation?
- Which workflows should stay human-led?
- Where would AI simply add complexity?
- What should the business address first?
- What would a better workflow architecture look like?
Five steps, from intake to a plan you can act on.
Pre-audit intake
A structured questionnaire about your business, your team, your systems, the AI tools you already use, and the workflow you most want examined. It takes about ten minutes and means the session starts from facts, not introductions.
Workflow discovery session
A working session with Rob, up to 90 minutes, focused on one or two workflows that matter. You walk through how the work actually moves: who touches it, which systems it passes through, where decisions get made, and where it stalls.
Analysis
Rob maps the current state, traces information flows and handoffs, and evaluates each opportunity for value, feasibility, and risk. AI-assisted analysis speeds this up; the judgment about what to recommend is his.
Audit report
A concise written report, delivered within 7 business days of the discovery session. It is meant to be acted on, by you, your team, or anyone you choose.
Review session
A 30 minutes session to walk through the findings, pressure-test the recommendations, and answer questions.
A concise report, written to be acted on.
The report covers the workflows examined in the discovery session. Every recommendation says who should do the work: a person, existing software, an automation, or AI.
Current-state workflow
How the work actually happens today, mapped step by step.
Friction points
Where time, information, or accountability is being lost.
AI and automation opportunities
Where they fit, and what each would realistically take.
Human-control points
The decisions and reviews that should stay with a person, and why.
Future-state architecture
The recommended workflow, showing the roles of people, software, automation, and AI.
Prioritized next actions
What to do first, what can wait, and what to leave alone.
What the audit doesn't include
- Building or configuring the recommended systems. That is a separate engagement, if you want one.
- Legal, tax, or regulatory advice of any kind.
- Reviewing confidential client files. Workflows are examined with identifying details removed.
After the audit. Sometimes the audit finds a workflow worth building. Sometimes it finds a process that should be fixed before AI enters the picture. And sometimes the right answer is to leave the workflow alone.
If implementation makes sense, Ellis Tech can scope a separate engagement, or you can give the architecture to your own team or another vendor.
Who it's for.
- You run or operate a small professional firm where the work is knowledge-heavy and judgment-dependent.
- Work is spread across email, documents, calendars, a practice or client system, spreadsheets, and people's heads.
- You're interested in AI but unsure where it belongs, or you've experimented without it becoming part of how the firm runs.
- You'd rather understand the problem properly than buy another disconnected tool.
Probably not a fit if
- You already know exactly what you want built and need a developer to build it.
- You're looking for a prompt pack or a general AI training course.
- You need legal, tax, or compliance advice. Ellis Tech doesn't provide it.
Before you start.
Does the audit include building anything?
What if the answer is that AI isn't the right fix?
Do you need access to our systems or client files?
Is this only for law firms?
Is this legal advice?
What's the refund policy?
Start with the intake.
About ten minutes. You'll review everything before paying, and nothing is charged until you do.
